A company annual dinner is the one night in the year when the whole team sits in the same room. Done well, it thanks your people, celebrates the year’s wins and leaves everyone talking about it on Monday. Here is how we approach planning a company annual dinner in Malaysia, step by step.
1. Start with the purpose and your guests
Before choosing a venue or a theme, agree on what the night is for. Is it mainly a thank-you party, an awards night, or a mix of both? Who is coming: staff only, partners and clients too, or management from overseas? Your guest count and audience shape every decision that follows, from the size of the ballroom to the songs the band plays.
2. Lock in the date and the venue early
Year-end and Chinese New Year are the busiest seasons for annual dinners, so popular hotel ballrooms and dates go quickly. When you shortlist a venue, check:
- Room capacity for your guest count, with space for a stage and a dance floor
- Stage, screen and power for the band, sound and lighting
- Load-in and setup time before guests arrive
- What the venue’s banquet team provides, and what you need to bring in
We recommend contacting us about three months before your annual dinner so there is time to plan every detail, but we also take urgent bookings at just one week’s notice.
3. Choose a theme that fits your company
A theme gives the night a look and a feel: a Great Gatsby night, a retro party, an elegant jazz evening, or a festive Chinese New Year dinner. The best themes are easy for guests to dress for and carry through the decor, the music and the entertainment.
4. Build the programme rundown
The rundown keeps the night on time. A typical flow covers guest arrival, an opening, speeches, dinner, awards or lucky draw, performances and a party set to close the night. Leave room for the moments that matter most, and give every segment a clear cue for the emcee, band, sound and lighting crew.

5. Plan the entertainment around the flow
Entertainment works best when it follows the energy of the night: relaxed dinner music while guests eat, a strong opening to grab attention, walk-in music and cues for awards, then a party set when everyone is ready to dance. A live band can move from elegant jazz to party hits, and our band can sing in Mandarin, English, Malay, Cantonese, Hokkien, Thai, Korean and Japanese for a mixed crowd. You can add dancers, a themed show or an opening gimmick to make the start memorable.
6. Don’t leave sound, lighting and the emcee to the last minute
Clear sound for speeches, lighting that makes the stage look good on photos, and an emcee who keeps the room engaged make a big difference. Get them coordinated with the venue and the rundown, together with photography and videography so the night is properly captured.
7. Rehearse, then hand the night to one team
A rehearsal with the performers and crew catches problems before your guests see them. On the night, one point of contact who manages the programme lets you and your management focus on your guests.
